WhatsApp for corporate events: your own number or your provider's?

Help guests recognise who is messaging them: when to use your company's WhatsApp business number for events and when to use your provider's.

WhatsApp for corporate events: your own number or your provider's?

WhatsApp for corporate events can use your organisation’s number or your provider’s. Your own number suits recurring events or clients who insist on their own identity: guests recognise the sender and keep the same contact between events. For a one-off event, or if you have no number to set aside, the provider’s is the most direct option.

What your company’s number adds

The sender is part of your brand. A profile name and picture that match your website help guests identify who is sending their ticket or a reminder. WhatsApp lets users block and report a business at any time [1].

Its policy requires accurate, up-to-date business information, without misleading people about who is messaging them [2]. The display name appears in the WhatsApp Business number’s profile, and Meta reviews it against its guidelines [3].

If you keep the number between events, guests save the contact once. Your organisation keeps its own channel with its audience throughout the year. Decide who approves messages and what tone to use, because they all go out under your brand.

That contact has other uses:

  • Inviting people to the next event. With EVA Insights, interests gathered from conversations and answers become audiences that carry over between events from the same organiser, within the permission received.
  • Communicating about internal events. Staff recognise the company number when they receive information about a conference or kick-off.
  • Asking for feedback. The closing question comes from the same sender that supported the guest; their answers feed the report to the client or senior management.

EVA offers the same support with either number. The sender the guest sees changes. If you run an agency, each client can have its own number for its events, without sharing a contact with other brands.

What to decide before connecting it

  1. The number. You can use the customer service number your clients already know or one dedicated to events. If it is a landline or already in use on the WhatsApp Business app, we review it with you before connecting it.
  2. The profile. The name and picture should match your brand. Allow for Meta’s review of the display name [3].
  3. The announcement at registration. Say which number will message guests and what for, and ask for the permission WhatsApp requires [2]. You’ll find examples in event reminder messages for WhatsApp.
  4. The person who replies. Decide who answers the queries EVA passes to the team during the event and who covers the rest of the year.

How we do it with EVA

EVA, our AI assistant for events, works on WhatsApp with your organisation’s number or its own. You can use the same number for several of your events. We set up the connection with you.

When you use your number, messages your team sends from the panel also go out under your brand. You can adjust EVA’s tone for each event and decide who steps in when a query needs the team’s attention.

See how EVA supports each attendee or the EVA overview. Write to us at projects@sinapser.com and in the demo we’ll work out which number suits your events and how we connect it with you.

Common mistakes

  • Changing the number for every event. If you want continuity, keep one per organisation or client.
  • Using a personal mobile. Choose an organisation number so the contact with your audience stays in place when someone changes role.
  • Leaving the profile unchanged. Check that the name and picture match what your guests see on the website and their badge.

Frequently asked questions

Can I use the same number for all my events?

Yes. You can keep your organisation’s number for several events, with a contact your audience recognises between them.

Do I need my own number to work with EVA?

No. You can use EVA’s number if you have none to set aside or are organising a one-off event.

Should I say that an AI assistant is replying?

We recommend introducing EVA as your event’s AI assistant in the first message. You can give it a warm tone without implying that a person is typing each reply.

Can we review which number suits us?

Yes, we’ll look at it with you in the demo, based on your events and the number you have available. Write to us at projects@sinapser.com.
