Chatbot personality for events: make it sound like yours

Formal or friendly, emojis, reply length: how to give an event chatbot its own personality and brand voice, set up in EVA for each event or client.

Chatbot personality for events: make it sound like yours

A custom chatbot for events has a personality: its form of address, warmth, reply length, emojis, greeting and handover to the team. You choose it for each event, based on the audience and the organisation’s or client’s voice. It should answer what your attendees ask in the tone you have chosen.

Six decisions to define the voice

DecisionWhat to set
Form of addressFormal or informal, to suit the audience
WarmthThe degree of warmth and formality
LengthHow much context the person asking needs
EmojisWhether to use them and how sparingly
GreetingHow it introduces itself as an AI assistant
Handover to the teamWho will reply and where the reply will arrive

Use the invitation as a reference: the assistant speaks for the same organisation. If you work for a client, agree these decisions with them before opening conversations to the audience.

Adjust the length to the moment. Before the event, you can give more context; during it, put the information requested in the first line. Someone checking their mobile needs to find it quickly.

Check how it announces a handover to the team too. The person needs to know who will handle their query and where they will receive a reply. That message needs the same care as the greeting.

The same answer with three personalities

Personality changes the way the assistant answers. The content comes from the event information and the data available on each person. This comparison keeps the time, place and QR code the same in all three versions:

Question: What time does badge collection open? Do I need to bring anything?

Medical congress: Good morning, Dr Ruiz. Badge collection opens at 8:00 in the main hall. You will only need the QR code we sent you in this chat.

Festival: From 8:00 in the main hall! 🎟️ Just your QR, the one we sent you here.

Brand conference: Hi Marc. Badge collection for the Kelvo Summit opens at 8:00 in the main hall. All you need is your QR code, which is in this chat. Welcome to the Kelvo family.

(Example conversations: the events, the brand, the names and the times are fictitious.)

Three uses for that voice

  • Agency proposals. You can show the client a welcome message in their voice within the proposal, as well as defining what information the assistant will hold.
  • Feedback. With EVA’s objectives, you define what you want to find out and EVA asks when it fits the conversation, in the event’s tone. Answers are saved in the words of the person who wrote them.
  • Scheduled messages. Your team writes the WhatsApp welcomes and reminders. Use the same register as the assistant’s replies.

How we do it with EVA

In EVA, we configure personality and style per event from the panel. An agency can give each client their own voice, even when the same team prepares every event. You can see these settings in communication management with EVA.

Before opening conversations, read several replies aloud with someone who knows the audience or the client. Check the greeting, an informative reply and the handover message. Adjust the six decisions if any sentence sounds out of place at the event. To define who steps in and what the assistant can say, see how to prepare EVA to look after your attendees with control.

Common mistakes

Choosing the tone to suit the team

Choose it for the audience and the moment they will read it. Review the personality for every new event, including when you start from the previous event’s settings.

Presenting it as a person

Introduce it as an AI assistant from the first message. It can sound warm and speak in your brand’s voice while keeping its identity clear.

Making replies longer to give them personality

Long greetings and jokes can delay the information someone asked for. Keep that information in the first line and adjust the tone around it.

Frequently asked questions

How do I choose between formal and informal address?

Use the same form of address as the invitation and the rest of the event communications. If you work for a client, confirm that choice with them.

How does the form of address translate into English?

English has no distinction between the Spanish “tú” and “usted”, but the sense of distance still changes. Decide how formal and warm you want the replies to sound.

Can an agency give each client a different voice?

Yes, EVA sets personality and style per event. You can explore the product on the EVA page and request a demo at projects@sinapser.com: tell us the event type and audience so we can try a conversation in the tone you describe.
