ChatGPT and Claude for event planners: manage EVA from your AI

ChatGPT and Claude for event planners: check how your event is going, correct what EVA knows and prepare the client report from the AI your team already uses.

ChatGPT and Claude for event planners: manage EVA from your AI

Claude for event planners, connected to EVA, lets you check statistics, update what the assistant knows and configure the event from a conversation. You can do the same with ChatGPT. Your team works in the tool they already use for drafting, with each person’s own permissions.

What you can do from Claude or ChatGPT

The connection uses an MCP: a standard connector through which Claude or ChatGPT works with another tool. We explain it in what MCP is and what to check before connecting it to your event.

With EVA connected, you ask for tasks in your own words. You check the event information and work on it without opening the dashboard for every change.

TaskWhat you ask for in the conversation
Check statisticsA summary of how the event is going and what attendees are asking
Maintain the knowledgeFind, correct or add information EVA uses to answer
Configure the eventAdjust its settings with your permissions
Prepare the reportDraft the client summary from the statistics you have checked

The organisation decides which events the connection is enabled for. Asking for something from Claude or ChatGPT does not extend the person’s access.

Update what EVA answers

You can search EVA’s knowledge by exact words or by meaning. Exact words help you find a speaker, a sponsor company or a room. Searching by meaning finds information on a topic even when it is worded differently.

Sergio: Thursday’s return transfer leaves at 18:30, not 18:00. Find everything EVA knows about getting back to the hotel.

Claude: I’ve found two entries that mention the 18:00 departure.

(example conversation: names and event are fictional)

Read the entries found and ask for the change. The correction reaches the knowledge EVA uses to answer attendees.

To add information, paste the sections of the document that affect attendees and ask for them to be included. The team decides what goes in: there is no need to include the whole document or the technical rider.

Prepare the client report

Check the statistics and ask Claude or ChatGPT to draft the summary in the same conversation, in your agency’s tone. This saves copying figures from one tool into a presentation. In a corporate team, the same process produces the summary for senior management.

Recurring questions also help you decide what information to add to the event. You can review what attendees are asking and add text approved by your team to EVA’s knowledge.

If you have set objectives in EVA to gather feedback, the results and the client report are available in the dashboard. They include attendees’ own words and complete that part of the report.

What changes compared with pasting data into a chat

An export pasted into a chat is a snapshot. It can help you draft, but the figures remain those from the time of the export and corrections stay in that conversation.

With EVA connected, you check the figures directly in EVA. Each person has access according to their permissions, and changes to the knowledge reach the event assistant. The organisation chooses which events to connect.

How we do it at Sinapser with EVA

Our assistant EVA can also be managed from Claude or ChatGPT: your team checks statistics, maintains the knowledge and configures events. You will find the details on EVA’s communication management page, and you can learn about the product on the EVA page.

Bring a real task from your team to the demo: the weekly report or a knowledge update. Email us at projects@sinapser.com and we will show you how to do it from Claude or ChatGPT.

Common mistakes

Giving the whole team the same permissions

Decide who has access, and to what, before enabling the connection. In how to prepare EVA to support your attendees with control, you will find the other decisions to make beforehand.

Enabling it on every event at once

Start with one event and a team that already uses Claude or ChatGPT every day. Expand later.

Accepting a correction without reading it

When you change times, access or information that all attendees receive, read the result before moving on to another task.

Frequently asked questions

Does Claude work as well as ChatGPT for managing my events with EVA?

Yes, EVA is managed from both. Each person can stay with the tool they already use.

Do I need to know what MCP is to use it?

You do not need to know the term to ask for tasks. Your team writes as usual and the connection works in the background.

Does it replace the EVA dashboard?

No. The dashboard is still where you read conversations, step in when an attendee needs a person, schedule messages and see the results of your objectives.

Do I have to connect all my events?

No, you can start with one. To see it with your event, request a demo at projects@sinapser.com.
