AI photo booth for events and trade shows: what it is and how to use it
What an AI photo booth is, how attendees experience it and what you need to decide before bringing one to your stand or corporate event.
An AI photo booth is an event activation in which attendees take a photo and AI transforms it in seconds with a theme: cinema, fantasy, the look of a campaign or a brand template. The photo is downloaded with a QR code, shared on social media or printed on the spot.
If someone has pitched one for your stand at the next trade show or for the annual conference, the sensible question is a different one: does it do anything beyond raising a smile? It does, on one condition. The important decisions are made before the theme is chosen, and almost all of them are yours.
How is it different from a classic photo booth?
In a classic photo booth the photo comes out as it is: you, your colleague and a frame with the logo. In an AI photo booth the photo is the starting point. AI reinterprets it in a style: the attendee walks in wearing their trade show blazer and walks out as the star of a film poster, or inside the visual world of your campaign.
You will see it under several names. In Spanish it is a fotomatón con IA; agency proposals call it interactive AI photography, and if you are looking for suppliers, AI event photo technology. It is the same thing: a photo the attendee takes at the event, which AI transforms before handing it over.
The practical difference, in short:
| Classic photo booth | AI photo booth | |
|---|---|---|
| The photo | Comes out as it is, with a frame or props | Is transformed with the theme you choose |
| The brand | A logo on the border | Sits in the photo, with templates made to measure for your brand |
| What the attendee takes away | Usually the printed copy | The photo on their phone via QR code, or printed on the spot |
| What you take away | The photos, depending on the supplier | The full gallery and the number of participants |
How attendees experience it, step by step
For the attendee it takes four simple actions, and none of them needs a long explanation.
It is 12:20 on day two. Marta walks past the stand, sees two visitors showing each other their photos on their phones, turned into astronauts with the stand’s branding in the shot, and joins the queue. She has her photo taken and within seconds it has been transformed. She scans the QR code, downloads it and posts it to her stories before heading back into the aisle. If she wants, she also takes the printed copy with her.

The interesting part for you happens at the end: the photo leaves the venue on Marta’s phone, with your brand on it.
What is it for at an event or trade show?
Above all, it draws people in. A queue in front of a stand attracts more queue, and watching others walk away with their transformed photo is an easy excuse to stop. That is why we call it the most reliable queue generator at a trade show.
From there, each side takes away something different. The attendee takes away a keepsake with your brand, and if they really like the photo, they share it: your brand appears on their social media, told in their words. You take away two measurable things, the full gallery and the number of participants.
What cannot always be measured is the brand effect. Someone remembering your stand weeks later does not show up in any gallery. The effect is still there; what you should avoid is presenting it internally as if it had figures behind it.
Getting the most out of it: the decisions that are yours
We set up the photo booth. These decisions are yours, and they are best made in this order:
- Set the objective before the theme. Drawing visitors to a stand is not the same as closing an internal conference on a high. The objective shapes everything else.
- Choose a theme that connects with the event. If this year’s campaign is about travel, let the photo take the attendee travelling.
- Decide where and how the brand appears. With templates made to measure for your brand, decide where it sits and how much of it shows. Look for the point where it is recognisable without getting in the way.
- Plan the queue. Make the wait part of the show: watching the photo of the person in front come out is more entertaining than any sign.
- Signpost the QR code. A clear sign saying “scan and download your photo” saves the stand team from repeating the same thing all morning.
- Decide what you will do with the gallery. Does it go into the event report, the follow-up campaign, the sponsor report? Decide beforehand who receives it and what for: if it has no destination, by Monday it is forgotten in a folder.
- Tell attendees how the photos are used. Explain to attendees, with visible signs and in plain language, what happens to their image: if they do not know, they will be wary, and rightly so. What the regulations require in your specific case is a question for your legal advisers, and it is worth asking before the build.
What our AI Photo Booth includes
Our AI Photo Booth does all of the above; what we add is the work around it. We create the templates made to measure for your brand, test the activation before the event and have a technical team on site for its full duration.
The process has three steps. You tell us about the event and the objective, and we propose the activation that fits, at a fixed price. We set it up. And at the end you take away the data.
One clarification so the products do not get mixed up. If what you are after is having the photos attendees take on their phones appear on the event screens, that is Photos on screens, an application of EVA, our WhatsApp assistant: the attendee sends the photo in their conversation with EVA, without opening another app, and the integration carries it to the system that runs the event’s visual wall. You configure what is shown.
If you are exploring AI at events beyond activations, we cover it in where to start with AI at your events.
Common mistakes
Choosing the theme because it is fashionable
The look that is everywhere this year produces eye-catching photos that nobody associates with your brand. If the theme cannot be explained in one sentence starting from the event’s objective, change it.
Invisible branding or branding that takes over
Both happen. With invisible branding, the photo circulates and nobody knows which stand it came from. With overbearing branding, the photo looks like an advert and the attendee does not share it. The sweet spot is found in testing before the event, looking at the photo the way someone who does not work at your company would.
Putting the photo booth where the queue gets in the way
Everything fits on the stand plan. On the first day of the show you discover that the queue blocks the information desk or cuts across the aisle, and the neighbouring exhibitor comes over to complain. Choose the location with the queue in mind, not the machine.
Frequently asked questions
How much does an AI photo booth cost?
It depends on the event, the level of customisation and how long the activation runs. We do not publish prices: you tell us about the event and the objective, and we give you a fixed price in the proposal.
Does an AI photo booth work for corporate events as well as trade shows?
Yes. At a trade show its main role is drawing people to the stand; at a conference, a company dinner or a launch, the focus shifts to the branded keepsake and the event gallery. The objective changes, and the theme changes with it.
How do attendees get their photo?
By scanning a QR code with their phone. From there they download it and share it, or take it away printed on the spot.
How is it different from showing attendees’ photos on the screens?
The photo booth is a physical spot where attendees have their photo taken and AI transforms it. Photos that attendees take on their phones and that appear on the screens are a different solution, Photos on screens, which works over WhatsApp. If you have an event in mind and are not sure which one fits, ask us for a proposal or write to us at projects@sinapser.com with the event and the objective.
